This page describes what Siftbox reads and stores, whether you connect Gmail, Outlook / Microsoft 365 or IMAP.
Classification without deleting or sending
By default, Siftbox reads and sorts your emails inside Siftbox: it never deletes them, and never sends a message on your behalf. Provider-side actions (Siftbox labels or folders, archive, trash) only run if you explicitly allow them; they never permanently delete your emails, and you stay in control at all times.
Optional automations
Some options (spam-folder learning, one-click unsubscribe for newsletters moved to spam) run only if you enable them in Settings. Unsubscribe uses only an HTTPS POST to the sender’s List-Unsubscribe URL: it is not an email sent from your mailbox.

Data read from your mailbox
During sync, Siftbox reads your mailbox (Gmail, Outlook or IMAP) only within what you have authorised.
- Message identifiers, thread, date and read/unread flags.
- Short text excerpt provided by your provider to summarise the message.
- Subject and sender when Gmail provides them.
- Labels, folders or flags associated with the message (depending on Gmail, Outlook or IMAP).
- Indicator that an attachment exists (without downloading the file).
- No full body or attachment binaries stored in this version.
Data stored by Siftbox
The following is stored securely in your Siftbox space.
- Synchronised information per message (snippet, subject or sender when available, sorting signals, timestamps).
- Access tokens or credentials are stored encrypted to keep the connection, never in clear text.
Where your data lives
Hosted in Europe: Infomaniak (Switzerland) and OVHcloud (France).
The application and classification run on Infomaniak; the PostgreSQL database is on OVHcloud. Access tokens or credentials are stored encrypted. No full message body or attachments are stored in this version.

Artificial intelligence
Siftbox AI, in plain language
Siftbox uses artificial intelligence to help determine whether an email is urgent, important, to read, or to ignore. This intervention remains limited to that precise goal.
A model hosted in Switzerland
Siftbox uses a Mistral model provided by Infomaniak. Processing runs on Infomaniak’s Swiss infrastructure.
Only the data that is needed
Siftbox does not systematically send an entire email body to the AI. Classification first relies on technical and contextual signals. When a message remains ambiguous, an excerpt may be sent to help choose the right category.
No training on your emails
Data sent for classification is not used to train models and is not used for advertising.
A limited intervention
AI is used only to help classify emails. It does not send messages, does not draft replies for you, and does not have free access to your mailbox.
Model refinement (optional)
If you enable it in settings, an optional model call may include a Gmail excerpt already known to the app, truncated with no body persistence. Otherwise only structured metadata (scores, traces) is sent. You can switch back to “metadata only” anytime.
If the advanced “body text in memory only” tier is offered on your environment and you enable it, a one-off body read may be requested from Gmail for classification only, then discarded, still with no body stored in Siftbox. Siftbox selects and oversees its technical providers so that data processing remains consistent with the commitments described on this page.
Siftbox never permanently deletes your emails on the server side. Classification sorts your messages; automations you enable may move some of them (for example to trash), without ever permanently deleting them.
Observed confidence in classification (dashboard)
Per zone: the percentage is the share of messages tied to that zone (current category in the zone, or an explicit move from that zone to another, in-app or mailbox equivalent) for which you did not record leaving the zone. The date used is the message date (UTC), same as the chart; the correction timestamp may be earlier.
On the dashboard, a short numeric summary (number of classified messages and corrections for the chart period) appears below the trend chart, using the same date window as the curve.
This does not measure model accuracy on messages you never reviewed: no correction does not imply agreement. It is separate from the model certainty level shown on each message.
Connected AI assistants (optional)
Siftbox does not draft your replies. If you already use Claude, ChatGPT, or Cursor, you can enable an optional link after sign-up.
The AI assistants module is off by default. If you turn it on, you choose which assistant to connect and which access to allow (scopes). Siftbox exposes your sorted mail to the assistant you control; Siftbox never sends mail on your behalf. Third-party assistants have their own terms and may process data outside Siftbox: check their policies before connecting.

Sync: current limits
How messages are fetched in this version. These values cannot be changed from this screen.
- Up to 50 messages may be scanned per sync pass.
- No extra Gmail filter on the message list.
- After sync, new messages may be queued for automatic classification.
Detailed sync scheduling is managed by the service.
Synchronisation is usually triggered automatically about every five minutes (depending on service configuration). Siftbox may therefore import and classify messages before your mailbox filters or rules (at the provider or in your mail app) have moved or labelled them, the order can differ from what you see in your mail client.
IMAP accounts: if you create a folder from Siftbox, its exact location depends on your mail server rules.
If a folder shows in webmail but not Thunderbird, Outlook or Apple Mail, check folder subscriptions in your client settings.
IMAP accounts: when enabled for your installation, a classified message may be moved to a Siftbox folder matching the category.
IMAP accounts: you can create all Siftbox folders on the server in one go (without moving messages). IMAP-only, separate from Gmail.
